f.gif (2587 bytes)ounded in 1995, the Three Lakes Theater Company was the brain child of local residents who had just finished watching the high school talent show. Mari Lynn Garbowicz, Mary Karling, Dianna Blicharz and Kris Cunningham were conversing about the adult need for creative expression that they had so often observed in the school district. This creative outlet had been present in the community during the 1950s when adults use to put on Vaudeville-like shows to raise money for things that the school district needed. That conversation soon took became a reality. Needing direction, members of the group turned to the Sheboygan Theater Company
Their advice included approaching the School District of Three Lakes for sponsorship.  Under this sponsorship, the theater company was placed under the 'umbrella' of the district, gaining the right to all school property, and most importantly insurance. This sponsorship has truly been a key to the company's success, and other community groups would be advised to seek out a sponsor in the same manner.
Since its inception, the TLTC has presented twelve summer productions.  In addition, the group sponsors reading and theater-related activities throughout the community, especially at the Demmer Memorial Library.
Our performances have grown from cardboard sets, created the night before the show opened, to complex sets with architectural drawings.

Three Lakes Theater Company Bylaws

ARTICLE I
Name

Effective July 1, 1996 this organization shall be known as "Three Lakes Theater Company," herein referred to as "The Company."

The Company is sponsored and insured by the Three Lakes School District and must follow the rules of the District when using the school facility.

ARTICLE II

Purpose

The Company is organized and shall operate as a non-profit organization exclusively for theatrical purposes.

ARTICLE III
Mission Statement

The Company believes in the advancement of quality theatre from the classical to the contemporary. It is the goal of The Company to serve the entertainment needs of the community, to provide family entertainment, free of pornography and other graphic material.

ARTICLE IV
Participation

Participation in The Company shall be open to anyone. Notice of audition dates is to be announced in the local papers and is to be posted in other public places.

ARTICLE V
Classes of Participants

There shall be the following classes of participants in the organization:

Benefactor

A benefactor shall be any individual, corporation, or entity making an annual contribution of cash, goods, or professional services valued at $200 or more.

Sponsor

A sponsor shall be any individual, corporation or entity making an annual contribution of cash, goods or professional services valued at $100 - $200.

Patron

A patron shall be any individual, corporation, or entity making an annual contribution of cash, goods or services valued at less than $100.

Volunteer

A Volunteer is any individual who provides services to the organization.

ARTICLE VI
Board of Directors

The business and affairs of this organization shall be managed by a working Board of Directors, each of which has a specific job description. *Note: If any of the directors happen to be from the same immediate family, only one vote per family is allowed. The Board of Directors shall consist of the nine directors

Director of Theater

The Director of Theater shall be the principal officer of the organization and shall, in general, supervise and control all functions of the organization. S/he shall preside at all meetings of the Board of Directors.

The Director of Theater shall have charge of and be responsible for all funds of the organization. S/he shall keep receipts for monies due and payable to the organization. All monies shall be deposited in the Three Lakes School District Theater Company account with the High School secretary. The Director of Theater must approve all withdrawals from this account.

The Director of Theater may, at sometime, desire to oversee another production or may desire to have a guest director oversee a Three Lakes Theater Company production. Both options are permissible. All guest directors will be responsible to The Company's Board of Directors.

The Director of Theater shall over see the Chairman of Make-up and Hair Design. This chairman shall order all make-up needs but it is the responsibility of the Director of Theater to choose and order the necessary hair pieces for each show.

Director of Sound
Director of Costuming

The Director of costuming shall consult with the Director of Theater as soon as a show has been selected to determine the costume designs to be used in the production.

The Director of Costuming shall assess the costume sizes of all performers. The Director of Costuming shall purchase the fabric, patterns and accessories necessary to build each required costume or shall rent required costumes when it is in the best interest of a particular show to do so. (The Director of Theater must approve the rental of costumes.) Receipts must be kept for any purchased items or services and must be turned over to the Director of Theater at the end of the theatre season.

The Director of Costuming is responsible for doing costume fittings with the goal of completing all costumes at least 1 to 2 weeks before the dress rehearsal of a given show. Further, the Director of Costuming must be available each night of the production to assist performers with costumes and with costumes shifts. Occasionally, quick costumes shifts must be performed backstage. It is the responsibility of the Director of Costuming to make sure that these shifts are successful. When necessary, the Director of Costuming shall mend, wash and press costumes. To insure authenticity of costume design, the Director of Costuming shall consult with the Chairman of Hair & Make-up.

At the end of a show's run, the Director of Costuming shall put all costumes belonging to The Company into storage, cleaning any items as necessary. If items have been borrowed or rented, they must be returned per agreement with the lender.

Lastly, the Director of Costuming must gather and assign committee members to do costume construction. S/he shall monitor and mentor these committee members to meet show deadlines.

Director of Lighting & Special Effects

The TECHNICAL DIRECTOR shall be appointed by the Three Lakes Theater Co. board of directors.

The TECHNICAL DIRECTOR is under the authority of the Director & Theater Board.

The TECHNICAL DIRECTOR may not loan or sell any equipment owned by the Theater Co without the approval of the Three Lakes Theater Company Board.

All purchases in excess of the production budget must be approved by the Board.

The TECHNICAL DIRECTOR may not modify the theater wiring or structure without permission from the Three Lakes School District

The TECHNICAL DIRECTOR may not hire anyone without Theater Board approval.

RESPONSIBILITIES

The TECHNICAL DIRECTOR shall become familiar with the production by attending the meetings called prior to the performances and make recommendations as to the following aspects of the Technical Budget:

Production Lighting

Production Sound

Production Special Effects

The TECHNICAL DIRECTOR shall stay within the budget approved by the Director and Board.

The TECHNICAL DIRECTOR shall recruit, train, prepare and be responsible for the Technical Group. This group includes the following:  sound technician, followspot operators, special effect personnel and load-in/strike crew. The Technical Director may also elect to train an assistant Technical Director.

The TECHNICAL DIRECTOR shall receive the Cue Sheet from the director one week prior to load-in.              

The TECHNICAL DIRECTOR shall coordinate the lighting plot and design with the Art Director. Final Cues "look" to be approved by the Director.  The Technical Director shall schedule the load-in with the set crew manager to avoid conflicts.

The TECHNICAL DIRECTOR shall utilize the aerial lift for all lighting load-in, production maintenance, and set strike.  The technical crew shall have first priority in the use of the aerial lift and shall coordinate use of the lift with other theater company related crews during the production.

The TECHNICAL DIRECTOR shall direct the hanging and focusing of all lighting instruments, and special effects.

The TECHNICAL DIRECTOR shall maintain a stock of replacement lamps. 

The TECHNICAL DIRECTOR shall maintain stock of snow & haze fluids.

       REHEARSALS

The TECHNICAL DIRECTOR shall have the Technical Group in place for two technical  rehearsals and dress rehearsal.

The TECHNICAL DIRECTOR shall have 100% of the load-in completed by the dress rehearsal         

The TECHNICAL DIRECTOR shall instruct the cast concerning curtain time ( C8 ). 

      PERFORMANCES

The TECHNICAL DIRECTOR shall take instructions from the Director during the performance.

The TECHNICAL DIRECTOR shall start the show at the Directors cue.

The TECHNICAL DIRECTOR shall coordinate the performance from the control room             with the sound technician.

The TECHNICAL DIRECTOR shall run all lighting & effect cues and curtain.

The TECHNICAL DIRECTOR shall direct the followspot personnel and communicate with        the stage manager utilizing the wireless intercom system.  

The TECHNICAL DIRECTOR shall arrive two hours prior to curtain and run a full lighting &    special effects check. The technical crew shall arrive at the theater one hour prior to curtain.

The TECHNICAL DIRECTOR shall advise sound checks one hour prior to curtain.

       SET STRIKE

The TECHNICAL DIRECTOR shall be responsible to return all technical aspects of the theater to the condition it was prior to the production.

      EQUIPMENT 

The TECHNICAL DIRECTOR shall be responsible for all equipment owned, rented or borrowed by the Theater Company listed on inventory sheets.

The TECHNICAL DIRECTOR shall maintain all owned lighting and related equipment.

The TECHNICAL DIRECTOR shall make repairs as budget allows.

The TECHNICAL DIRECTOR may make recommendations as to equipment acquisitions.

The TECHNICAL DIRECTOR shall organize and store all Lighting instruments and accessories in the storage room designated for lighting and special effect equipment.

The TECHNICAL DIRECTOR shall maintain the aerial lift by checking battery water levels and battery charge within reason, and also coordinate inspections and maintenance with the company currently holding service agreement with the Theater Company.

The TECHNICAL DIRECTOR shall clean the Hazer, Snow Machines, and Fog machine after the final performance of a production prior to storage.

The TECHNICAL DIRECTOR shall maintain the pyrotechnic effects.

MEDIA-RELATED RESPONSIBILITIES
The Publicity Director shall be responsible for informing the public about the Three Lakes Theater Company by completing maintaining contact with local newspaper media including: The Vilas County News Review, The Rhinelander Daily News, The Lakeland Time, and Our Town.
Articles shall be submitted to the above outlets to announce show selection, cast selection, and ticket sales. In addition, at least 2 other articles meant to entice theatergoers to the productions shall be written.

The Publicity Director shall contact the following radio and TV stations to encourage TLTC inclusion on PSAs and Calendar of Events information:  WRJO, WXPR, WOBT, WRHN, WAOW, WJFW, WSAW, and WLSL-B93.  
The Publicity Director shall contact the Demmer Library to have TLTC materials included on the cable calendar of events.
The Publicity Director shall inform the local information bureaus of TLTC show selection, dates of productions and ticket sales as soon as possible for inclusion in summer calendar of events or tourism booklets.
The Publicity Director shall find a reviewer for the production, send complimentary tickets to him/her, and serve as communicator between VCNR and reviewer.

MARKETING-RELATED RESPONSIBILITIES
The Publicity Director shall create a logo for the year’s upcoming show.
The Publicity Director shall provide logo to local media outlets as needed.
The Publicity Director shall develop a tryout poster, marketing poster, t-shirt design and ticket design using production logo.
The Publicity Director shall obtain quotes for the production of posters and programs.
The Publicity Director shall work with vendor to have tickets printed according to TLTC needs.
The Publicity Director shall develop a marketing plan for production including promotions and PSAs.
The Publicity Director shall maintain and update the Web site (www.3lakestheater.org) as needed.  Two copies of the Web site shall be available at all times.
The Publicity Director shall typeset and arrange for the program’s printing.
The Publicity Director shall take photos or arrange for photos to be taken during the dress rehearsal.  These photos shall be available to the cast and used on the Web site.

ORGANIZATIONAL-RELATED RESPONSIBILITIES
The Publicity Director shall take organizational meeting minutes and distribute them via e-mail to all Board of Director members.
The Publicity Director shall maintain, update and distribute Board of Director and Media list as needed.
The Publicity Director shall contact musical licensing groups (TAMS-WITMARK, ROGERS & HAMMESTEIN, and MUSIC THEATER INTERNATIONAL) to obtain perusals. 
The Publicity Director shall make sure that the program and posters adhere to licensing agreement requirements.
The Publicity Director shall maintain historical record on each show including programs, meeting minutes, photos, etc.
The Publicity Director shall write grants and gift requests as needed and directed.
The Publicity Director shall maintain updated resumes on all TLTC Board Members.

 

Director of Public Relations & Communication

The Director of Public Relations & Communications shall be responsible for sending out letters to area businesses seeking financial support each year for our production. Each contributor shall be listed and publicized according to their level of participation. (See Article III) All monies shall be deposited in the Three Lakes School District Theater Company account with the High School secretary. The Director of Public Relations & Communication must keep accurate records of contributions received and must keep the Director of Theater updated on account deposits.

The Director of Public Relations & Communication shall work with the Director of Publicity to handle ticket sales, collection and depositing of monies from ticket sales, and distribution of posters.

It is the responsibility of the Director of Public Relations & Communication to arrange and train volunteers to act as ushers and ticket sellers for each night of the performance. The Director of Public Relations & Communications shall count the cashbox after each night's performance and have it secured in the vault of Three Lakes High School.

The Director of Public Relations & Communications shall decorate the entrance of the theatre with decorations matching the theme of the chosen show.

These decorations are to include a table set up with a box for donations, sheets for prospective volunteers or prospective performers to fill out with information about themselves, and pencils. A similar decorated table must be set up for ticket sellers. Cashboxes are set up with money by the High School secretary, but it must be communicated to her as to the amount of bills needed. Any collected donations shall be placed in the cashbox at the end of the evening.

The Director of Public Relations & Communications must purchase and set up snacks and soft drinks each night for the performers. Clean up and store any leftovers each night. Empty ice from coolers at the end of the night. Sweep the snack area when necessary.

Director of Scenery

The Director of Scenery shall be the principal artist for the settings and backdrops of the chosen performance.

It will be the responsibility of the Director of Scenery to correspond with the Director of Theater, the Director of Set Design & Construction, the Director of Props & Stage Management and the Director of Lighting & Special Effects to interpret any special needs for a given performance.

The Director of Scenery will be in charge of purchasing materials for the given performance and shall keep all receipts for purchased items or services. These receipts must be turned over to the Director of Theater at the end of the theater season.

*All members of the Board of Directors are to comprise a list of active committee members and are to submit this list to the Director of Theater as soon as possible after production details are set. The Director of Theater and the Director of Publicity shall work cooperatively to complete a program for the show to include all participants and any pertinent information on a given show.

When Board decisions are to be made, five members of the Board of Directors shall constitute a quorum for the transaction of business at any given meeting of the Board.

Board members have the option of finding a suitable, temporary replacement for a given show, but must oversee the responsibilities of his/her position.

ARTICLE VII
Tenure and Removal

A director may serve for as long as s/he would like, but a director may be removed from office at any time for conduct which is deemed detrimental to the purpose of the organization.

Such removal shall be by an affirmative vote of two-thirds of the members of the Board of Directors taken at a meeting for that purpose.

A director may resign at any time by filing his or her written resignation with the Director of Theater. Resignations are appreciated at least six months prior to the production date.

Any vacancies of the Board, as they may occur, shall be filled by a majority vote of the Board of Directors. The new board member must resume the duties of the director that s/he is replacing.

ARTICLE VIII
Tickets

There shall be no gratis tickets distributed for any reason except to press who will be reviewing our performance.

ARTICLE IX
Dissolution

In the event of dissolution, the Director of Theater shall, after paying or making provision for the payment of all liabilities of the organization, turn all monies and property over to the Three Lakes School District.
